Candidate ownership that prevents duplicate client submissions

Submit the same candidate to the same client twice and you have a problem: a confused client, an argument over credit and a damaged relationship. MyATS 360 treats ownership and duplicate prevention as part of the pipeline, not as a rule written on a whiteboard.

Every candidate has an owner

When a candidate is added, one recruiter owns that profile for a set period. Other recruiters can see that the candidate is owned and by whom, instead of finding out after both of them have called the same person.

Ask for permission, with a reason

A recruiter who wants to work a candidate owned by someone else sends a request for the specific job. The owner approves or rejects it, and the approval applies to that job only. Nobody can approve their own request.

A 24-hour guard after manager approval

Once a manager approves an internal submission, a guard starts for that candidate, client and job. During those 24 hours nobody else can submit the same candidate for the same requirement, and the same submission cannot go to the client twice even if a button is pressed twice.

Credit goes to the right recruiter

The recruiter who made the original submission is credited in reports. If a team lead or manager sends it to the client on their behalf, the credit still stays with the original recruiter, and the system records who actually pressed submit.

The rules are enforced by the system

These checks run on the server, not only in the screen. A second browser tab, a repeated click or a slow connection cannot create a duplicate submission or a wrong attribution.

The problem it solves

When two recruiters submit the same candidate to the same client, the client loses confidence and the agency loses a placement fee argument it did not need. Informal rules such as asking in the team chat work until the desk gets busy. The system should enforce the rule at the moment of submission, not rely on memory.

How a submission moves through the rules

A recruiter adds a candidate to a job and sends an internal submission. A manager approves it. At approval a 24-hour guard starts for that candidate, client and job. The recruiter or their team lead then submits to the client, and the guard completes. If anyone else tries to submit the same candidate for the same requirement, the system blocks it and says why.

Ownership that expires

Ownership runs for a set window, so a profile cannot be held forever by someone who is not working it. When the window ends the candidate becomes open. Submitting a candidate does not restart the window, which keeps the rule fair.

Audit trail

Each submission records who created it, who approved it, who sent it to the client and who gets the credit. When there is a dispute, the answer is on the record.

What is enforced

  • One owner per candidate, with an ownership window
  • Job-specific permission requests that the owner approves or rejects
  • Manager approval before a submission reaches the client
  • 24-hour guard per candidate, client and job
  • No double submission from repeated clicks
  • Reports credit the original submitting recruiter

Frequently asked questions

What happens when ownership expires?

The candidate becomes open again and any recruiter can work on the profile, so good candidates are not locked up forever.

Can a manager override the rules?

Managers and admins can act on behalf of a team, and every action is recorded, including who submitted and who is credited.

Does this slow recruiters down?

Not in normal use. Open candidates can be worked immediately. The checks only interrupt when two people would otherwise collide.

Is it available in the free trial?

Yes. The 60-day trial gives full access.

What happens if two recruiters click at the same moment?

The checks run on the server, so only one submission is created. The second attempt is refused.

Can a candidate be submitted to different clients?

Yes. The guard applies to the same candidate, client and job, not to every client at once.
